Privacy Policy

Mail-Wise is run by Tibor Rames, a sole trader in the UK, who is the data controller for the personal data below. This page says what we collect, why, who else touches it and what you can do about it.

What we collect

  • Your Google account basics when you sign in: name, email address, profile picture, and the sign-in tokens Google issues.
  • What you type into the composer: your brief, recipient type, tone and other settings, plus the drafts we generate for you.
  • Your credit balance and purchases. Card details go straight to Stripe; we never see or store them.

Cookies: one essential sign-in session cookie, nothing else. No analytics, no ads, no tracking pixels, so there's no cookie banner.

Why (lawful basis)

  • Contract: to run your account, generate drafts and add the credits you pay for.
  • Legal obligation: keeping payment records for tax.
  • Legitimate interests: preventing fraud and abuse, and keeping the service secure.

We don't sell your data, and we don't send marketing email.

Who else processes it

  • Google: sign-in, and hosting via Firebase App Hosting (Google Cloud, Netherlands region).
  • Google Gemini API: your brief and settings are sent to Google to write the draft. We use the paid tier, where Google does not use prompts or responses to improve its products; it keeps them for a limited period only to detect abuse.
  • Neon: our database, hosted in London.
  • Stripe: payments, receipts and fraud checks.

International transfers

Some of these providers process data in the EU or the US. Transfers to the EU rely on UK adequacy regulations; transfers to the US rely on the UK Extension to the EU-US Data Privacy Framework or the ICO's International Data Transfer Addendum, depending on the provider.

How long we keep it

  • Account data and drafts: until you ask us to delete your account. Deleting the account deletes your drafts with it.
  • Payment records: as long as UK tax law requires, currently at least 5 years after the Self Assessment deadline for the tax year of the purchase.

Your rights

You can ask to see, correct, export or delete your data, or object to how we use it. Email hello@mail-wise.uk and we'll respond within one month.

Complaints

Email hello@mail-wise.uk with "Data complaint" in the subject. We'll acknowledge it within 30 days, investigate, and keep you updated until it's resolved. You can also complain to the Information Commissioner's Office at any time: ico.org.uk/make-a-complaint.
